Retail Operations Support Officer
About the Role
Salary Band: H.3 £25,683 (£15,410 pro rata)
Hours: 22.5 per week
Location: Hybrid role with base at Honeysuckle Farm
This is a part-time role (22.5 hours per week), based at Honeysuckle Farm with some remote working where appropriate, and travel to retail locations as required.
As Retail Operations Support Officer, you will provide essential administrative, systems and operational support to our retail function. You will help ensure our shops operate accurately, efficiently and consistently, enabling our Retail Manager and Shop Managers to focus on leadership, performance and volunteer engagement.
This role is central to keeping our retail systems, processes and information accurate and up to date, particularly following recent changes to ways of working. You will support the implementation of new systems and processes through coordination, communication and confident system use, rather than direct line management.
What You Will Be Doing
EPOS Administration and Systems Support
- Acting as system administrator for our EPOS platform
- Providing day-to-day troubleshooting and user support
- Supporting EPOS training for staff and volunteers
- Maintaining permissions and configuration, escalating technical issues as required
Gift Aid Administration
- Coordinating and processing monthly Gift Aid claims in line with HMRC requirements
- Liaising with Finance & Compliance to ensure accurate and timely submissions
Retail Team Operational Support
- Supporting clear and consistent communication between Head Office and shop teams
- Assisting with inductions, system set-up and access
- Supporting rota coordination and timesheet collation
- Submitting payroll information accurately and on time
Administration and Purchasing
- Raising purchase orders and procuring retail supplies
- Managing retail paperwork accurately and within agreed timescales
- Ensuring compliance with Sanctuary administrative and procurement procedures

What You’ll Bring:
- Experience in a retail, customer-facing or operational support role
- Strong administrative skills and attention to detail
- Confidence using IT systems, including EPOS or similar platforms
- Ability to follow procedures accurately, including those relating to Gift Aid, GDPR and finance
- Good organisational skills and the ability to manage multiple priorities
- A practical, hands-on approach with flexibility to support shops directly when needed
- Clear communication skills and the ability to work positively with staff and volunteers
- A full UK driving licence (or ability to travel independently between sites)
- If your role involves regular travel to more than one site, we also ask that you provide us with a copy of your vehicle insurance that covers business use (not just your commute). This ensures that you’re adequately covered while performing your duties.
Desirable experience includes charity retail, Gift Aid processing, rota or payroll coordination, volunteer support and familiarity with systems such as Shire or LMS.
Please note this role is subject to a DBS check, and you will be required to provide proof of your right to work in the UK.
